Presets

This part of our documentation is under construction as this feature is currently in early access only.

Presets allow you to fine-tune Microsoft 365 for Jira settings for users.

This makes the configuration process more centralized and efficient, ensuring a smoother and more guided user experience. You can create individual Presets that will be available in your Jira or JSM projects.

Presets are currently only available for Jira Cloud

Presets are coming for Data Center, as well. Timeline will be shared, soon!

Responsibilities

Global Jira admin

  • Creates the Presets for their organization/team globally in the Jira admin settings

  • Presets will be defined for Jira or JSM projects

  • However, if a project admin has already defined Presets on their own, globally shared Presets will not automatically be activated in these projects. They need to be activated manually (see below).

Project admin

  • As mentioned above, the project admin can create own Presets for their project(s) via the project settings

  • If the global admin has created new Presets, they need to be manually activated

  • Globally defined Presets cannot be edited via the project admin (view-only). They can only be activated or deactivated via the project settings

Based on our app’s functionality, we offer Preset settings for the following features.

Create Presets for users to choose from when they start a Microsoft Teams chat or channel conversation within an issue. Examples:

  • Triage channel post

  • Customer chat

  • Internal chat

Use built-in automations like creating a chat that automatically adds a Jira comment.

Create Presets for users to choose from when users send an Outlook email from within an issue. Examples:

  • Project update mail to reporter

  • External mail requesting further input

Use built-in automations like sending an email backup when an issue is resolved.

Create Presets that are available when users schedule an Outlook or Microsoft Teams meeting from within an issue. Examples:

  • Project briefing meeting

  • Triage MS Teams meeting

✍️ Smooth and more efficient configuration of features

The configuration process is set-up comprehensibly and follows a top 'till bottom approach. Moreover, all information concerning the set-up process can be found at one place in the (Jira/project)s settings.

📋 Structured workflow for the team

When working in Jira with one of our features (Teams, Email, Meetings), end users can now simply pick and choose one of the Teams Presets in their issue. For example, when starting a Teams chat with a customer, all necessary details (such as participants, sharing options, message details etc.) will be prefilled in the issue and allows for a quicker reaction and overall workflow.

📌 Streamlined and standardized working environment

Due to the fact that Jira admins have the capability to define presets globally for all Jira or only JSM projects, end users are provided with a specific set of predefined "templates" when using our features in their Jira issues. This can make communication with customers or internal coordination more streamlined and standardized.
